What MapleChat collects, why we hold it, and the rights you have over it.

Who we are
MapleChat provides a shared inbox and automation platform for businesses that communicate with their customers over the WhatsApp Business Platform. In this policy, "MapleChat", "we" and "us" mean PhiLogic Technologies LLP (LLPIN ADA-0679), a limited liability partnership registered in India at 250 KVA Golapora, Magam, Chadoora Police Station, Budgam 193401, Jammu & Kashmir, which owns and operates the MapleChat service; "you" means the business that holds a MapleChat account.
Two different roles
This distinction determines nearly everything else in this policy, so we state it first.
We are a controller for the data we need in order to run MapleChat as a business: your account details, your billing records, your support requests, and the technical logs of how your team uses the product.
We are a processor for the conversation data that flows through your WhatsApp Business Account: your customers' phone numbers, their names and attributes, and the content of the messages they exchange with you. You decide why that data is collected and how long it is kept. We act on your instructions, and we do not use it for our own purposes.
If you messaged a business that uses MapleChat, that business is the controller of your data, not us. Contact them directly to exercise your rights, and see Data Deletion for how requests reach us.
What we collect
Account and identity data. Names, email addresses and authentication identifiers for the people on your team. Authentication is handled by Firebase Authentication; we store the user identifier it issues, along with the company, role and team assignments we attach to it.
Business connection data. When you connect your WhatsApp Business Account, we store the account and phone-number identifiers Meta issues, along with the access credentials needed to send and receive messages on your behalf. The WhatsApp Business Account remains yours. We do not own it, and Meta bills you directly for conversations.
Conversation data. Contact records — phone numbers, names, and any email address, profile image or other attributes you choose to add — along with message content, message status, and media that you or your customers send. Media is stored as files in object storage; message bodies are stored in our database.
Usage and technical data. Application logs, error reports, request traces, IP addresses and approximate timing information. These exist to keep the service running and secure. Message deliveries from Meta are also recorded briefly in their original form so that a failed delivery can be retried and diagnosed; those records are deleted within days.
Billing data. Plan tier, subscription status, and invoices. Card and bank details are handled by our payment processor and are never stored on MapleChat systems.
Why we hold it
We process account, technical and billing data to provide the service, keep it secure, meet our legal obligations, and bill you correctly. Where the law requires a lawful basis, ours is the performance of our contract with you and our legitimate interest in operating a secure service.
We process conversation data solely to deliver the service you asked for: routing messages, running your automations, and showing you your own history. We do not sell it, we do not rent it, and we do not use it to train machine-learning models.
We collect only what the product needs to work. MapleChat runs no advertising, builds no behavioural profiles, and personalises nothing from your customers' data. There is no analytics vendor inside the product and no tracking on this website. This is a deliberate design constraint rather than a promise of restraint: data we do not hold cannot be leaked, subpoenaed or mishandled, and it carries no compliance burden for either of us.
Who we share it with
We share data with the infrastructure providers listed on our Subprocessors page, each of which is bound by contract to protect it. We also share what the law compels us to share, and we may disclose data where necessary to investigate abuse or protect the safety of users.
Messages you send necessarily pass through Meta's WhatsApp Business Platform. Meta's handling of that data is governed by Meta's own terms and your agreement with them, not by this policy.
How long we keep it
Account and billing records are retained while your account is active and for as long afterwards as tax and accounting law requires. Conversation data is retained while your account is active, and is deleted on the timeline described in Data Deletion once you close your account or ask us to remove it. Technical logs are retained for a limited operational window and then discarded.
Where it lives
MapleChat runs on infrastructure that may be located outside your country. Where data leaves a region with transfer restrictions, we rely on the safeguards our providers offer, including standard contractual clauses where applicable.
Your rights
Depending on where you are, you may have the right to access, correct, export or delete your personal data, to object to or restrict certain processing, and to complain to a supervisory authority. To exercise any of these, contact us using the details below. We respond within the period the applicable law requires.
Security
We describe our technical measures on the Security page. No system is perfectly secure, and we do not claim otherwise; we do commit to notifying you promptly if a breach affects your data.
Children
MapleChat is a business product, sold to businesses and not directed at children. We do not knowingly collect their data. We treat anyone under 18 as a child — the strictest of the standards that apply to us, and stricter than the 13-to-16 thresholds used in Europe and the United States — and we do not knowingly process a child's data without verifiable parental consent. We do not track, profile or target advertising at anyone, children included. Where a child messages a business that uses MapleChat, that business is the controller of the resulting data and is responsible for the lawful basis, as set out above.
Changes
We will update this policy as the product changes. Material changes will be communicated to account owners before they take effect, and the effective date above will change.
